Online evaluation

You will find guidelines for remote evaluations here.
These are evaluations that you do online from home, for example an online oral exam or an online closed-book exam.

PREPARATION

Hardware

- You need a computer, mobile phone and internet.

- Make sure your PC / laptop is getting enough power or is sufficiently charged. Put your power cable within reach. Disable sleep mode in the settings.

- If you have oral online exams, you also need a built-in camera or webcam. A cheap model of 15 to 20 euros is sufficient.

- If technical malfunctions occur during the exam, the exam can be continued via a smartphone. A smartphone can therefore be a handy backup tool, but you are not obliged to buy one. In the event of technical faults, a new exam time can also be scheduled.

- If you have financial problems that do not allow you to purchase a computer and / or internet connection, you can contact the STUVO social service.

Platform

- LUCA supports the following digital tools: Toledo, Toledo Collaborate and Teams. Make sure that you have the necessary digital tools - that is, those announced by the teacher - available and tested well in advance.

- Teachers can take a test evaluation. A trial evaluation is not graded (does not count in the calculation of the global exam result), but aims to familiarize you with the course of the exam, the digital tools used and the type of exam questions you can expect. TECHNICAL GUIDE

Examiner

Examiners will be available by phone at any evaluation in the event of problems with the internet connection or other technical breakdowns.

Quiet environment and fraud prevention

- The teachers will make good agreements with you about what is / is not possible (= fraud) during the online exam and will point out your responsibility and the consequences of attempts at fraud.

- The teacher can do an identity check by asking to have your student card (or identity card if student card is lost) visualized. Have your student card and / or identity card ready on your desk / table before the start of the online exam.

- If you have technical problems during the online exam, please call the teacher at the telephone number provided in advance. Make sure you have the telephone number available before the start of the online exam.

- The teacher can check your exam / paper / assignment with plagiarism software.

- As a student you are also responsible for the best conditions of the exam by, for example, checking in which room you can take the exam in a quiet way, making agreements with housemates about this and clearly indicating in which period of time the exam will take place (eg by a note on the door).

- Please contact the ‘ombuds’ if it is absolutely impossible to take an online exam at home in a quiet environment. Use the following form: https://www.luca-arts.be/nl/notification-examination-ombuds-person-luca. Do this on time!

- Your desk / table is clean. Only permitted material may be within reach. Don't be too concerned: teachers understand that unexpected events can disrupt a room's rest beyond the student's control. If it is absolutely impossible to take an online exam at home in a quiet environment, please contact your teacher.

- As a student you are alone in the room the entire time of the exam.

- Make sure that no study material is available that could give rise to (suspicion of) fraud. In an open book exam, the teacher communicates what is and is not possible.

- Be prepared for the examiner to ask at any time to take a 360 °view of the room or share your screen in the context of fraud prevention or control. This will be asked as standard for an oral online exam. Do not be concerned about this: the space in which the exam takes place does not play any role in the assessment.

Student with a special status

If you have a special status, you can link facilities to courses of which the exam takes place online. If you want to use it, it is best to contact your care coach.

THE ONLINE EVALUATION

Start of the online evaluation

- Make sure you are ready for the computer at least 10 minutes before the scheduled exam time and that all programs required to take the exam are operational.

- Make sure you have a good and stable network connection.

- Go to the toilet beforehand so you don't lose time during the exam.

- Make sure that no other programs are running on the computer other than those allowed to make the evaluation.

- For online oral exams, make sure that the camera is positioned so that you are clearly visible and the sound functions optimally.

What to do in case of problems during the online evaluation?
What to do in case of a technical failure / problem with the internet connection, platform, computer?

- Step 1: Try connecting to the platform again to continue the exam.

- Step 2: If this does not work or it takes too long, you call the examiner via the telephone number that was provided in advance. So keep that at hand. You immediately report the technical malfunction.

- Step 3: If the technical malfunction persist and you can’t continue the exam, please contact the ombuds via the following form: https://www.luca-arts.be/nl/notification-examination-ombuds-person-luca. Be sure to take a picture or print screen of your computer during the technical malfunction. An online catch-up moment will then be provided, at which either the exam will be continued or a new exam will be offered. The teacher quickly provides the necessary information to the student.

- In very exceptional cases it is possible to choose to have the exam take place on campus.
